Fitness Studio or Gym QuickBooks CleanupCan dues and a class share an item

The question is the heading. The answer is about the file, and then it stops.

The answer

They should not. Dues, meaning the right to use the floor, and a class at a set time are different things a member bought. The billing run can collect them together. QuickBooks should not store them together.

Sharing an item feels efficient on the day the file is set up. One product list, one income account, one button. The cost shows up later, when a class price changes, or a freeze should have stopped one charge and not the other, or a deposit has to be explained to a lender who wants income by type. The efficient setup becomes a Saturday of guessing.

The share is allowed to have happened. Many files arrive that way. This pass names the share and skips any lecture about how the items were first built. It splits what can be split going forward, and rebuilds an open month from the export when the export is clear enough to support the split.

A recorded session sold for a member to play later is not the live class either. If the question on your export is really about recordings, say that. The item is still its own item. The reason is the same. A later edit has to know what moved.

What the answer does not decide

It does not decide a tax rate. It does not decide whether a particular class is treated one way or another on a return. Those questions need the closed months and the actual charges. This page only refuses the shared item, because a shared item makes every later question harder.

It also does not name a billing vendor. If the export can list the product, we can give that product an item. The logo on the billing screen is irrelevant.

If the only thing you needed was this answer, you have it. If the export is in the shape this answer describes, the next step is a look at that export, not another article.

Family plans and the hour that is not a class

A family plan is one price for several people. It is still floor time if what they bought is the right to come in. It becomes a class problem only when one of those people also bought a set hour with a guide. The plan can stay one item. The set hour cannot hide inside it. Otherwise a price change for the hour rewrites the family plan, and a freeze on one person cannot be told from a freeze on the household.

Childcare during a class is the same kind of split. The parent bought an hour on the floor or in the room. The child bought a supervised hour somewhere else in the building. One draft can collect both. Two items have to store them. A studio that offers both and keeps one item will never know which room earned the morning.

Personal training sold as a pack of sessions is a third shape. The pack is a pile of hours paid in advance. The hour that gets used this week is not a new sale. If the pack and the dues item are the same item, the week the pack is used looks like a second membership. The file should show the pack when it was bought, and the use of a session as the pack running down, not as new dues.

None of these answers picks a rate or a form. They only keep the item honest so the deposit can be rebuilt. If your export uses a family plan, childcare, or a pack, say which one in the note. The first look is for that shape.
