Fitness Studio or Gym QuickBooks CleanupThe bank line was only the net
A made-up morning. One item held two products, another held the counter, and the bank showed what was left.
See the net
The shape, with amounts left off
Picture a draft. One item covers both floor time and a class on the schedule. A second item catches a bottle and a shirt, as if the counter were one product. The bank deposit is smaller than the draft. No studio is named. No balance is printed. No item in that story gets renamed. The story exists to show the order.
Three things are true in that picture, and they are true in any state. The draft is the gross. The card company kept a cut before the money arrived. The deposit is the gross minus that cut, and minus anything that was reversed the same day. Booking the deposit as the sale hides the cut and hides the gross at the same time.
Skipping ahead is how the net gets booked as the sale. Split the items so each product can be seen. Book the cut as the cost of collecting, not as a reduction of the class or the shirt. Then match the bank to what remains. A reconciliation that is forced to zero by plugging the difference into sales has not been reconciled. It has been decorated.
Why the counter item matters in the same morning
A bottle and a shirt are not floor time. If they share an item with each other, you can still tell them from the membership, and that is better than one lump. If they share an item with the membership, the deposit cannot be rebuilt at all. Retail and access are different promises to the member.
The hypothetical does not pick a price. It only insists the counter has a home that is not the dues item. When a real export arrives, the homes get real names from that export, not from a template.
A fee the studio adds on top of a charge, to cover the card company, is part of what the member paid. It is not the same dollar the card company kept. One is in the gross. The other is the cost. They do not cancel in the file just because they feel related.
What this morning is not
It is not a client. It is not a result. It is the order of operations, so an owner can see why the net deposit felt like the truth and was not. If your export looks like this picture, the call starts from the items, not from a speech about software.
Closed months stay closed unless the engagement says a period is being rebuilt. An open month can be split without rewriting a year that already went to a return.
The batch that lands the next morning
Card companies do not always deposit on the day of the draft. A Friday draft can arrive Monday. The export date and the bank date then disagree, and someone in a hurry books the Monday money as a new sale. It is the same draft, late. The cleanup keeps the export date as the sale date and lets the deposit match when the cash arrives, even if that match crosses a weekend.
A weekend is not a new product. It is a delay. If the month ends in the middle of that delay, the sale stays in the month of the draft and the cash is still in transit. That is an ordinary timing gap. It is not a missing member and it is not a second gross.
What the bank kept
You will be talking to the Steven Palmieri practice.
