Fitness Studio or Gym QuickBooks CleanupThree rows on one morning
A failed draft, a freeze, and a reversal are different events. The file has to say which one happened.
See three rows
The failed draft
The member was billed. The money never arrived. The card was declined, or the account was short, or the draft was attempted and abandoned. The export may still show the attempt. The bank shows nothing. If the attempt was recorded as income, the file has a sale that never became cash, and the member balance is fiction.
The row for a failure is not a deposit that went missing. It is an attempt. It is reversed or it is never entered as income. The choice depends on whether the attempt was posted. The name of the row should say failure, not mystery.
The freeze
The member paused. The draft should not have run, or it ran and the time was not delivered. Cash that arrived for time that will not be used is not the same as cash for time already used. A freeze belongs next to a date. Without the date, a later month cannot tell whether the pause was honored.
Studios feel this in the first weeks of a year, when annual charges and new members stack into a few mornings, and also in the quiet weeks when people pause. The feeling is national. The row is the same everywhere. A pause is not a sale, and it is not a disappearance.
The reversal
Money arrived, and then it went back. A member disputed the charge, or the studio refunded it. Both the original row and the reversal have to exist, tied to each other. A reversal alone looks like a missing deposit. An original row alone looks like income the bank will never confirm.
The tie is the member and the date, not a vibe. If the export shows the reversal and QuickBooks does not, the cleanup adds the reversal. If QuickBooks shows income the export has already undone, the income comes off. The bank is the referee only after both rows are present.
Why mixing them feels tidy and is not
All three can make the bank disagree with the export on the same day. It is tempting to book one plug and move on. The plug hides which event happened, and next month the same plug is needed again, a little larger. Three named rows are slower on the first morning and faster on every morning after.
Bring the export for one messy morning if you want to see the difference on your own rows. We will say which of the three is present. We will not invent a fourth category to make the day look clever.
Which row is which
You will be talking to the Steven Palmieri practice.
